Under-staffing does not look like a shortage of people. It looks like a queue, a cold plate, and a host who spent their own party solving problems. Here are the numbers that actually work.
Buffet service
Roughly one server for every twelve to fifteen guests, plus dedicated hands at each station. The servers are not just plating — they are clearing, refilling and keeping the line moving. Cut this number and the queue is the first thing to appear.
Plated service
Closer to one server for every eight to ten guests. Plated service is judged on whether a table is served together. If half a table is eating while the other half waits, it does not matter how good the food is.
Ushers are a different job
Ushers are not spare waiters. They seat people, manage the high table, handle the elderly guests who need attention, and keep the aisle clear. At a two-hundred-guest wedding, four to six ushers is realistic. They are also the people who protect your programme from drifting.
- One usher on the door, always.
- One assigned to the high table and nothing else.
- One who knows where the gifts go and takes responsibility for them.
Kitchen and clean-up
Clean-up is the most under-planned role at Nigerian events, because nobody wants to think about the end while planning the beginning. If the venue requires the hall cleared the same night, you need a crew booked for it. Guests should never watch the pack-down begin.
The signs you got it wrong
- A queue that never clears.
- Empty water on tables for more than a few minutes.
- Used plates stacking up beside guests who are still sitting.
- The host on their feet solving something.
One number that matters more than the ratio
Who is coordinating them. Fifteen well-briefed staff with one person directing will outperform twenty-five who each think someone else is handling it.
